Job Description: Administrative and Financial Assistant   

 

Location: Ramallah office

Contract Duration: One Year  with possibility of extension

Reporting to the Executive Director

Job Summary:

The administrative and financial assistant position requires providing support and coordination at the highest levels, thus encompassing the following tasks and responsibilities: financial, administrative, human resources, and relevant coordination with information technology.

Key tasks and responsibilities:

 

 1. Administrative and coordination responsibilities:

    • Oversee general office administration, including managing office supplies, equipment, facilities, and visitors’ inquiries
    • Handle incoming correspondence, emails, and phone calls, directing inquiries to the appropriate departments or individuals.
    • Handle the legal registration and documentation with relevant ministries and organizations
    • Coordinate the annual general assembly meeting.
    • Prepare Meeting minutes (Staff meetings, General assembly meetings, procurement)

 2. Human Resource management

 

  • Coordinate the administrative matters of recruitment processes, preparing employee contracts, and job descriptions.
  • Monitoring of attendance records, vacations and leave, and timesheets
  • Follow up with any arrangements related to “human resources insurance” for the organization’s staff.
  •  

 3. Accounting & Finance responsibilities:

  • Prepare payment requests related to general and administrative expenses and ensure all supporting documentation complies with the Association's regulations and policies
  • Accurately and promptly record accounting transactions in the Bisan accounting system
  • Conduct procurement tasks related to tendering, quotations, and agreements requirements per the association policies and procedures.
  • Follow up on the petty cash and handle all cash payments
  • Prepare and follow up on the annual assets and inventory sheets
  • Follow up on grants implementation and reviewing financial reports (including supporting documents and expenditure vouchers) submitted by partners, grassroots organizations, and beneficiaries related to pass-through grants and fiscal sponsorship
  • Follow up on the Community funds and granting policies in alignment with the organization's policies and procedures

 

 Required Qualifications:

  • Bachelor's degree in business administration, Accounting, or a related field
  • 2-4 years of professional experience in grant management, administration, or accounting
  • Knowledge of accrual accounting systems is a must
  • Excellent networking, planning, and organizational skills.
  • Good Command of English level (writing, speaking, reading), fluent Arabic
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint).
